OPEN POSITION - Design Office Coordinator

We are looking for a vital addition to our team. Our Design Office Coordinator is essential to our office and to serve our clients well. We are looking for someone who loves a face-paced environment where every day can be just a little different! Your primary role will be assisting our Designers with client work and administrative duties to help HouseHome run smoothly.

Position Job Duties: 

  • Coordinate and maintain designer and design lead calendar/schedules 

  • Communicate with vendors, contractors, and clients to confirm scheduling, orders, and appointments

  • Manage order tracking, returns, and deliveries w/dedicated Design Lead

  • Weekly office maintenance 

  • Maintain and update client files in Honeybook 

  • Lead management  - adding all leads to Honeybook, closing out lead source, adding to contact lists

  • Maintain all client and project status documents

  • Take notes during staff meetings to complete write-ups and distribute tasks. 

  • Assist with Operational and Marketing tasks as needed 

  • Assist with updating all client documentation in spreadsheets to track hours, purchases, etc. 

  • Create reports for billable client hours

  • Draft invoices for active, billable clients for review by Operations/Owner

  • Accompany Designer/Design Leads to meetings, outings as needed 

  • Filing and General clerical duties, potentially including light/minimal bookkeeping 

  • Administrative errands on occasion 

  • Manage all industry and client agreements files (referral agreements, estimates, and more)

  • Coordinate travel 

Position Details:

  • 20-30 hours per week 

  • Hourly pay commiserates with experience

  • Flexible schedule/remote work days (Fridays are On Call only!)

Position Requirements: 

  • High attention to detail with great organizational skills

  • Punctual and reliable for workdays and onsite visits

  • Strong analytical and problem-solving skills

  • Excellent spoken, and written communication both internally and externally

  • Excellent customer service and report with clients, vendors, and contractors 

  • Valid and current driver's license with a reliable vehicle for frequent on-site or retail store visits/errands (workday drive time is paid!)

  • Familiar with Google Business Tools (Drive, Sheets, Docs, etc)

  • Helpful but not necessary: Experience with TapGlance, Revit, and other digital design and business systems
